Xhibit Installation Event

As a module requirement for Personal Development class in second term, as a class we require to conducted the event which we all decided to make The installation at DFW store, NomadX. This event called Xhibit. Xhibit is a collaboration between Digital Fashion Week and Raffles College of Higher Education. The installation concept incorporates an artist’s workshop and space inspired by nostalgia for retro technology - think analogue and VHS. As a part of Digital Fashion Week Store, the installation promotes the new store’s streetwear brands: Thrasher, Made In Paradise and The Good Worth.


Me as a part of Marketing Team with 3 other teammates including Hanna, Siska, and Natasja. Our main job is to manage about invite Media & Guests to the event, promoting event through social media posts, and manage guests during the event. In Marketing, we have separate roles by Hanna mainly manage about the press release and, Natasja manage about invitation for Influencers, and Siska help out with invite the general guests, while My main roles is to manage all the post on social media including the Instagram advertisement.


Guest lists


We have been working as a team and help out each other so much by not only focus on our duty. For example, all of us brainstorm and come up with the tactics & mechanics on how to engage people to come our launch event, and that we help out by listing all the influencers names. We get the general guests during event by go to class by class at Raffles College, including some of the guest register via google form as they see our Raffles x DFW promoting advertisement on Instagram, this also including friends of us that we invited. After we got all the guest lists, which we separate guests into 2 session from 7-8 pm and 8.15-9 pm and each session has more than 30 guest lists which the day before event we sent out the E-Invitation cards to all the guest and influencers.



However, before we get all the lists we need to check & help out each other by checking on the influencers and general guest lists confirm via Xhibit e-mail and fill in the guest lists on excel sheet, (This part is where everyone in Marketing team help out since not everyone checks email all the time).


Social Media Post & Ad




I’m in charge for social media post which this including Instagram page @xhibit.2018 starting from write the bio / date / time of event. Manage the feed posts by cooperate with design team (who help us to create the posters and instagram ad videos) I made the Instagram post schedule and try to post it accordingly. The feed post before launching event including logo, poster, photoshoot from Fashion Video of production team (This is to promote the merchandise from street brands that features at DFW store), including the giveaway advertisement. For the captions, I would like to thanks everyone in my team that help out to correct it and help me came out with the caption. However, during event we do not post anything on Instagram feeds but only post it on IG story due to our busy schedule at event day. Which everyone in Marketing team separate roles to do registered, welcome guests, and take care of guest all the way to the end of event. After event, I schedule some of post to be about behind the scene of installation (this haven’t been post before event due to we’re all busy to set up the event 3 hours before opening), as well as the photos during event, the influencers who visited us, and other general guest pictures. As we also have giveaway starting from 29 Nov - 31 Dec 2018, I will make giveaway ad to remind people to join this giveaway as well.


Manage Guest during event



We separate roles by First session I’m with Hanna. And Second session will be Siska and Natasja who serve in. Me & Hanna will do register on first session and Siska took photos while Natasja doing the IG story post. After second session roles switch. At the event, everything pretty much different due to the guests and how we handled people at event. I’d say that since we doesn’t have proper table for register and guest are coming in different timing. So Hanna is mostly doing registered by check the guest lists, while I mostly talked with guests, introduce the event and guide them where to get tattoos and participate giveaway and other small activities. This due to most of my friends are came on first session, and it’d be more comfortable for me to talk with them since the guests know us personally. During second session, I’ll be the one who do IG story post so I approached influencers like Grace and Joanna from WOC, Brenda Tan, Anda The Sea, and Evelyn Gabrielle at event to took photos of them at installation.




At the end, I’d say that we’re proud and reasonably happy for the overall results of event. More than 60% of guests we invited came (Total 55 out of 94 guests) and I’m glad that few influencers are join this event and enjoyed. Most of them have posted about our event on social media including DFW store and NomadX, which creates the hype of event. At the event one of the guests join our Giveaway. All of them have a good feedback that our event is fun since we have many activities that doesn’t make them feel bored and feel comfortable. And I’m really thankful to our classmate and lecturer Anisa that helps us to make this Xhibit installation event happened!!
